Water Damage Restoration - Office Assistant

Compensation: $17-$20

Employment type: part-time (20 hours per week, in person)

Job overview:

We are seeking a highly organized and professional Receptionist/Office Assistant to join our team. As one of the first points of contact for our office, you will play a crucial role in providing excellent customer service and ensuring smooth daily operations. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Responsibilities:

  • Answer incoming calls, direct calls to the appropriate personnel or take accurate messages and relay them accordingly.
  • Fill out call sheets to get all the necessary information from incoming job leads.
  • Enter and maintain contacts and leads into the CRM system (Hubspot).
  • Create new job folders and enter the information into the Job database (Encircle).
  • Monitor the main email address: service@certifiedrestorationinc.com, address or forward emails to the appropriate personal. 
  • Collect incoming mail and distribute it to appropriate individuals.
  • Assist with scheduling inspections, working directly with the Production Manager.
  • Maintain office calendars and schedule appointments as needed. 
  • Assist with preparation of letters, emails, and phone calls when necessary. 
  • Assist with administrative duties such as data entry, copies, scans, and printing.
  • Maintain a filing system for completed jobs. 
  • Manage the inventory of office supplies and uphold office cleanliness.
  • Work closely and assist other management staff and departments with administrative support.
  • Monitor and respond to customer reviews.
  • Assist with assigned marketing duties. 

Skills:

  • Prefer experience as a receptionist or administrative assistant
  • Excellent phone etiquette and communication skills
  • Strong organizational and support skills 
  • Proficient in Microsoft Office and Google platforms
  • Willingness to learn new software (Encircle, Hubspot, etc.)
  • Ability to work self-sufficiently and to prioritize tasks effectively
  • Punctuality and reliability is a must
